This Privacy Policy explains what personal information we collect through coolaidac.com, our instant quote tool, our phone and text lines, and the services we perform in Brevard County; why we collect it; how we use, share and protect it; and the choices you have. We handle personal information in accordance with applicable U.S. federal law and the laws of the State of Florida, including the Florida Information Protection Act of 2014 (FIPA, section 501.171, Florida Statutes) and the Florida Deceptive and Unfair Trade Practices Act (FDUTPA).

Information we collect
Information you give us
- Your name, service address, email address and phone number when you request an instant quote, book an appointment, call or text us, or fill out a contact form.
- Details about your home and equipment (system type, tonnage, age, symptoms, photos) that you provide so we can quote or perform work.
- Appointment preferences, service history, invoices, and any eligibility information you share for our educator, first responder and military discounts.
- Payment information, which is processed by our payment provider. We do not store full card numbers on our systems.
- Financing applications, which are submitted directly to the third-party lender you select and are governed by that lender's privacy policy.
Information collected automatically
- Standard web log data such as IP address, browser type, device type, pages viewed, time on page and the page that referred you to us.
- Cookies, pixels and similar technologies used to operate the site, remember your quote progress and measure how the site and our advertising perform (see "Cookies, pixels and analytics" below).
- Call and text records, including the number you called from and the date and time of contact.
How we use your information
- To respond to quote requests, schedule and dispatch technicians, and perform the services you ask for.
- To send service confirmations, appointment reminders, technician-on-the-way notices and updates about work in progress.
- To register equipment warranties, provide warranty support, and send maintenance reminders and safety notices about your system.
- To process payment and keep the records required for tax, permit, inspection and warranty purposes.
- To improve our website, quote tool and services, and to measure the effectiveness of our advertising.
- To send marketing communications where you have opted in, and to comply with Florida licensing, building code and other legal obligations.
Text messages (SMS) and the TCPA
When you provide your mobile number and check the consent box on one of our forms, reply to a text from us, or ask us to text you, you agree to receive text messages from Cool Aid Air Conditioning at that number. Messages may include appointment confirmations and reminders, technician arrival notices, quote follow-ups, service updates and, where you have opted in, occasional offers, and may be sent using an automated system. Consent to receive text messages is not a condition of purchasing any goods or services. Message frequency varies. Message and data rates may apply. You can cancel at any time by replying STOP to any message; you will receive one final confirmation text and no further messages. Email and the CAN-SPAM Act
We send transactional email about your quotes, appointments, invoices and warranties, and promotional email only where you have opted in. Every marketing email identifies Cool Aid Air Conditioning as the sender, includes our physical mailing address, and contains an unsubscribe link. Opt-out requests are honored within ten business days as required by the CAN-SPAM Act.
Cookies, pixels and analytics
This site uses cookies and similar technologies to keep it working correctly and to understand how visitors use it. Specifically:
- Meta (Facebook) Pixel records page visits, quote starts and form submissions so we can measure our Facebook and Instagram advertising and show relevant ads to site visitors. Meta's use of this data is governed by its own privacy policy; you can adjust your ad preferences in your Facebook settings.
- CRM and marketing platform tracking (HighLevel, also known as GHL or LeadConnector) attributes form submissions, calls to our tracking number and text conversations to the page or campaign that brought you to us, and stores your contact record.
- Instant quote tool (app.leadder.io) sets cookies to remember your selections while you build a quote.
Most browsers let you refuse or delete cookies and block third-party tracking. Some parts of the site, including the quote tool, may not work properly if you do. We do not currently respond to "Do Not Track" browser signals.
How we share information
We do not sell your personal information. We share it only as needed to run our business:
- Service providers who process information on our behalf: our CRM and messaging platform (HighLevel), the instant quote tool (Leadder), scheduling and dispatch software, payment processors, call and SMS carriers, email providers and website hosting, each of which may use your information only to provide services to us.
- Equipment manufacturers and distributors, including Rheem, where required to register or claim a warranty.
- Financing partners, utility rebate programs and tax credit documentation, when you apply or ask us to submit paperwork on your behalf.
- Brevard County and municipal building departments and inspectors where required to permit and inspect licensed work.
- Legal and safety: where required by law, subpoena or court order, or to protect the rights, property or safety of any person.
Retention
We keep personal information only as long as needed for the purposes described above or as required by law. Service, permit, invoice and warranty records are generally retained for the life of the equipment warranty and the period required by Florida and federal tax and contractor record-keeping rules. Marketing records are deleted when you ask, except that we keep a record of your opt-out so we do not contact you again. Information no longer needed is disposed of securely as FIPA requires.
Security
We take reasonable administrative, technical and physical measures to protect personal information, including access controls on our CRM, encrypted connections to our website and quote tool, and limiting access to team members who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach of security affects your unencrypted personal information, we will notify you and, where required, the Florida Department of Legal Affairs, within the time frames set by FIPA.
Children
Our website and services are directed to homeowners, property managers and other adults. We do not knowingly collect personal information from anyone under 18, or from children under 13 in violation of the Children's Online Privacy Protection Act (COPPA). If you believe a child has provided us information, contact us and we will delete it.
California residents
We serve Brevard County, Florida, and do not target California residents. If you are a California resident and the California Consumer Privacy Act (CCPA/CPRA) applies to our handling of your information, you have the right to know what personal information we collect, to request its deletion or correction, to opt out of the sale or sharing of personal information, and not to be discriminated against for exercising these rights. Your choices and rights
- Access, correction and deletion: you may ask what personal information we hold about you, ask us to correct it, or ask us to delete it. Some records must be retained where Florida or federal law requires it.
- Text messages: reply STOP to any message to opt out.
- Marketing email: use the unsubscribe link in any message or email us.
- Phone calls: tell us you no longer wish to receive calls and we will add you to our internal do-not-call list.
We will respond to verified requests within the time required by applicable law.
